The countdown to summer has begun. For most of us, it started after returning from Spring Break. Before you head home or off to that summer job, take a minute and review this list. A little preparation now will pay dividends later.

No. 10 — Update Your Address with Fraternity Headquarters If you graduate this spring/summer, take a minute to visit the Fraternity’s website to update your address. Just click on ‘Quick Links’ in the upper right hand corner and click on ‘Update Address.

No. 09 — Set the Date and Time of First Fall Meeting The beginning of the school year is hectic – people have information coming to them from all directions. When, where, and what time will the chapter hold its first meeting in the fall, is one bit of information you can take care early. Typically, the chapter should hold its first meeting the weekend undergrads are able to move back into the residence halls – there is recruitment to be done, not time to waste.

No. 08 — Update Officer List in the Officer Portal It takes just a minute, but doing so ensures that Headquarters staff and alumni can reach those they need to during the summer months. By April 15th, either the president or secretary should login (www.officerportal.alphasigmaphi.org) and verify that your officer list is correct.

No. 07 — Notify Alumni of Homecoming Date and Events Want alumni to attend Homecoming in the fall? Let them know now. Identify the date, send them a few details, and tell them where to find additional information (website, flyer in the fall, email). Remember to plan events for alumni in the 30 to 50 age range who may have children and wives likely in attendance. Younger alumni will probably have plenty to keep them occupied.

No. 06 — Establish the Date for a Fall Retreat Get it on the calendar. Now. Everyone has a hectic schedule, so plan the date and time and coordinate this with your GCA and the Chapter Council. They should attend and help facilatate the retreat.

No. 05 — Sign-up for Fall Organization Fair/Freshman Move-in Nearly every campus has a fall organization fair. We’re not saying you’re going to round up 30 great men by participating, but having a presence is important. You never know – you might meet one guy, who leads you to another, and to another. Most campuses will allow Greeks to assist with freshman move-in; it’s a great way to meet guys and follow-up with them later.

No. 04 — Fall Calendar – Get Dates on Calendar Before everyone leaves for the summer, each officer should submit events for the coming semester. Pick dates for recruitment, social events, brotherhoods, when fees are due, Initiation, Pledge Ceremony, and others. That way everyone knows what to expect in the fall so you can hit the ground running!

No. 03 — Establish a Budget for Next Year Make it a priority for the chapter to approve next year’s budget. Before summer break, discuss and set dues for the fall and spring semester, so that everyone knows what to pay. Some chapters tell members that if everything is paid by an early deadline, they get a discount on dues. Remember to budget for an insurance bill in October, Chapter Fee Assessment in December, and the delegate Fee in March.

No. 02 — Establish a Communication Method One of the most frustrating things about the summer is when chapter members believe there is a lack of communication. Before leaving for the summer, establish how chapter leadership makes contact with members. Decide if updates and messages are sent via text message, email, Facebook, or another method. If email is picked, get commitments that everyone checks email at least once a week. Making these decisions now saves time later.

No. 01 — Plan and Execute Summer/Fall Recruitment You guessed it – you need a summer/fall recruitment plan. Doing nothing all summer is not a good option. Do something – calls, visits, events, activities. Do you have a list of men to approach over the summer? If not, make one and stay focused on sharing our brotherhood. The fall recruitment plan you establish before summer break should be familiar to each member. Everyone should know the events and activities and what to expect. Otherwise, creating your fall recruitment plan when you get back to campus is like changing a flat tire while trying to drive 80 miles an hour down the freeway.
